Import Actuals into an Advanced Budget

Before you import the Actuals into an Advance Budgets, follow the below steps, if there are missing information from Trading Account 
Open the Trading Account and update it.
Save it and close it.
Make sure the Trading Account is closed, as the Actuals will not read any data if the Trading Account is left opened.
That will not copy across all the needed information into the budget.

Step 1: Open Advanced Budgets

  • Click Budgets
  • Advanced Budgets menu option or click on the Budgets toolbar icon to open the Advanced Budget window



Step 2: Check the date range

  • Ensure that the actual data to import falls within the date range of the budget into which importing to
  • Open the budget or create a new one
  • Click on the budget name. This will allow access to the date range of the budget 
Note: The default budget date range for a new budget is always the next financial year

To change the date, either:

  • Change date manually -
    • Click on the up or down arrows either side of the set date range, to change the month (left side) or year (right side)
    • Click Apply to save
    • Click Yes, to Confirm message: 'Making the budget start earlier can cause issues with opening balances. Are you sure you want to proceed?', if this message appears
    • Click Yes to Confirm message: 'WARNING: Changing the date range requires saving the budget and reloading it. Any data outside the new date range will be lost. Proceed?', if this message appears
    • Click OK to Warning message: 'Please note that you should not print any budget-related reports in Cashbook until the budget has finished saving. Failure to observe this warning may result in incorrect reports.'
  • Click on the drop-down list in the Change date range to ... box
    • Select an option. eg. this financial year
    • Follow the prompts as above

 

 Step 3: Import Actuals

  • Click Tools
  • Import Actual Data menu option



iii. Select a month. eg. October 2015. This will include all actual data from 1 July 2015 to the 31 October 2015
iv. Select the type of Data to Import
v. Select Accrual Figures or Cash Figures
vi. Click Import
vii. Click Yes to Confirm message: ' Proceed with importing the specified data?'
