Failure to link a reporting group to the appropriate section of the budget may result in errors like the following:

Error:  Account 024C is linked to reporting group 0-020, which is not linked to any section of the budget.

  • This error occurs when Importing Actual Data into the budget. i.e. Tools > Import Actual Data menu option
  • If there are any issues, an error message will appear: 'Import Complete. Errors have been detected. Click OK to view the errors.'
  • The above error is one issue that may appear on this list

Reporting Groups Setup

  • Each item on the chart of accounts can be attached to a particular 'reporting group' for management reporting purposes. For example, all fixed costs could be attached to a group called 'Overheads'. It is then a simple matter to produce a report of overhead expenses
  • Groups can also be used for more detailed financial reporting - for example; showing expenses grouped by say 'Fixed Costs', 'Variable Costs', 'Overheads', etc.
  • Another example would be in the Assets & Liabilities report to categorize items into 'Fixed Assets', 'Current Assets', 'Current Liabilities', etc.
  • Make sure that each item in the Chart of Accounts is attached to the appropriate 'reporting group'
  • Note that an "unallocated" group is automatically included and cannot be deleted - the name may be changed
  • The Groups option is not available in level 1 of the program

 

Step 1: Advanced Budgets Module or the Cashbook Module

  • Click on Setup
  • Chart of Accounts menu option
  • Enter 024C (for example, as per the sample error referred to above) into the Search for Code box
  • Click Edit
  • For this example: Account code 024C is Wheaten Hay Income and it has been linked to Reporting Group 0-020 which is Cropping Income
  • Click Cancel/Exit
  • Click Close

 

Step 2: Must be Within the Advanced Budgets Module

  • Click on Setup
  • Account Groups menu option
  • Click on the 'group' you know the account and linked reporting group belong to. eg. Farm Income
  • For this example, Cropping Income has not been selected as part of Farm Income
  • Hold down the Ctrl key and click on all the reporting groups that should be part of Farm Income. Note: they will be highlight blue when selected
  • Click OK
  • Click Close
  • This reporting group will now be linked to the budget
